ABEAM is a Discord bot that helps flight simulation groups fly together. This page describes the data the bot and this site process, why, for how long, and how to exercise your rights. It is a translation: the French version prevails.

Data controller

Romain Viktorovitch, non-professional publisher of ABEAM.

Contact for any question about your data: contact@flyabeam.app.

This site

This site is static. It sets no cookie, does not measure audience and loads nothing from another domain: fonts are served from this site. No access log is kept: visitors’ IP addresses are not stored. Only the server’s technical errors are logged, in size-limited logs.

Bot data

ABEAM does not read the messages of your channels. It only receives what you send it: its commands, buttons and forms.

Data Why Kept
Discord ID and creation date of the ABEAM account Recognise you from one command to the next Until /privacy delete
Navigraph alias used by SimBrief Import your flight plan when you ask Until /simbrief unlink or /privacy delete
VATSIM CID and link date (beta) Link your VATSIM account, through VATSIM Connect only. No name, email or token is kept Until /vatsim unlink or /privacy delete
VATSIM link request Personal single-use link, valid for 10 minutes Deleted 1 day after it expires
OPS you organise: title, description, legs, times Announce and run the OPS See “OPS” below
Sign-ups, waiting lists, requests for a private OPS Manage the seats of each leg Same as the OPS
Imported flight plans (OFP): callsign, aircraft, airports, times, route Check the plan against the leg, prepare briefings Deleted 30 days after the leg’s departure
Flights proposed to the FlightFinder catalogue Review then publish them Kept once published (see the terms); your name is removed if you delete your data
FR24 credit counters (beta) Limit daily search usage Deleted 7 days after the day concerned, or with /privacy delete
Audit log: author’s Discord ID, action, server, date Know who changed what on a server 1 year
Server settings: IDs of the server and of the chosen roles and channels, callsign prefixes, language Apply the admins’ settings While the bot is on the server; reset 48 hours after it leaves

OPS

  • A cancelled OPS is deleted 90 days after it was cancelled.
  • A past OPS is kept for the server’s history. If its organiser deletes their data, it stays without their name (“deleted account”).
  • If the bot is removed from a server, its settings are reset and its upcoming OPS cancelled after 48 hours. After 30 days, the server is deleted with all its OPS and its audit log. If the bot comes back before, nothing is deleted.
  • If you delete your data, the upcoming OPS you organise are cancelled and their pilots are told.

Never kept

Data read on demand from providers only stays in a cache, unrelated to you: METAR and TAF weather (5 minutes), connected VATSIM controllers (60 seconds), ATC bookings (10 minutes), Flightradar24 beta results (15 minutes to 1 hour).

What other members see

An OPS is a message in a Discord channel: members who can see that channel see the list of pilots signed up, and the briefing shows where each pilot’s flight plan stands. The details of a private OPS are only visible in its private thread. Replies to /privacy are visible to you only.

Legal bases

  • Performance of the service you use (Article 6(1)(b) GDPR): account, links, OPS, flight plans, credits.
  • Legitimate interest (Article 6(1)(f)): the audit log, which lets admins and the ABEAM team find out who did what, and the security of the service.
  • Acceptance of the contribution terms for flights proposed to the catalogue.

Recipients

  • Discord, the platform ABEAM runs on. Your interactions go through Discord, which processes data in the United States under its own privacy policy.
  • The host, OVH SAS (Roubaix, France). The server is located in Zurich, Switzerland, a country the European Commission recognises as ensuring an adequate level of data protection.
  • SimBrief (Navigraph), which receives your alias when you ask for an import.
  • VATSIM, when you link your account through VATSIM Connect.

The other providers (AviationWeather.gov, OurAirports, Flightradar24) only receive airport codes or search filters, never data about you.

Your rights

  • See your data: /privacy mydata, in a server or in a direct message with the bot.
  • Delete everything: /privacy delete. A preview shows what will be deleted before you confirm. The audit log keeps your Discord ID for 1 year; messages already posted on Discord are Discord’s.
  • Rectification, objection, restriction, portability: write to contact@flyabeam.app. You get an answer within one month.

You may also lodge a complaint with the French data protection authority, the CNIL (cnil.fr), or the authority of your country.

Age

ABEAM is used through Discord: Discord’s age requirements in your country apply.

Security

The database and the cache cannot be reached from the Internet. Services run without administrator rights, and technical logs are limited in size and duration. Secrets (tokens, API keys) are never written to logs.

Changes

Any change to this policy is published on this page with its date. A significant change is also flagged at the top of this page.

For flight simulation only. Nothing here is fit for real-world aviation.

ABEAM is an independent project, not affiliated with Discord, VATSIM, Navigraph or SimBrief.
